1 General Provisions

1.1. This Policy defines the procedure and conditions for processing personal data when using the unitedfitness.ru website and sending inquiries to UNITED FITNESS.

1.3. The Policy applies to the information that the user provides through the website forms, email, instant messengers, and other channels specified on the website, as well as to technical data arising from the use of the website.

1.4. The Russian version of this Policy shall prevail in the event of any discrepancies with the translation.

2 Processed Data

2.1. Depending on the selected form, the Operator may process:

  • first name, last name, and other information specified by the user in the name field;

  • company name and position;

  • phone number, Telegram, email address, and city;

  • information about the facility, its area, and project status;

  • equipment categories of interest, estimated budget, and desired delivery time;

  • text of the inquiry and documents or images attached by the user;

  • page language, page address, and advertising referral tags, if used;

  • technical data necessary for the operation and protection of the website: IP address, date and time of request, browser and device information, technical identifiers, and security logs.

2.2. Do not send passport data, medical information, payment details, information about minors, or other excessive or special categories of personal data through the form.

2.3. If the attached file contains personal data of another person, the user confirms that there is a legal basis for transferring them to the Operator.

3 Purposes of Processing

  • receipt and processing of the inquiry;

  • communication with the user and clarification of the request;

  • preparation of equipment selection, calculation, or commercial proposal;

  • preparation for the conclusion and execution of a contract at the initiative of the user;

  • conducting business correspondence and interaction history;

  • ensuring security, operability, and preventing abuse on the website;

  • analysis of website usage — only to the extent permitted by the user through cookie settings, if such analytics are enabled.

Contact data obtained from the application form is not used for promotional mailings without the separate consent of the user.

4 Legal Bases

  • consent of the personal data subject;

  • necessity of processing for the conclusion of a contract at the initiative of the subject or execution of a contract;

  • fulfillment of the Operator's obligations established by the legislation of the Russian Federation;

  • legitimate interests of the Operator in ensuring website security, provided that the rights and freedoms of the subject are respected.

5 Actions with Data and Processing Methods

The Operator may collect, record, systematize, accumulate, store, clarify, extract, use, provide to authorized processors, block, delete, and destroy data. Processing is carried out with or without the use of automation tools.

6 Processing Periods

6.1. Inquiry data is processed until the purposes of processing are achieved, consent is withdrawn, or the period necessary for business correspondence and protection of the Operator's legitimate interests expires, unless another period is established by law or contract.

6.2. Upon achieving the purpose, the data is deleted or anonymized, unless its further storage is required by the legislation of the Russian Federation.

6.3. Technical security logs are stored for a limited period necessary to identify abuse and investigate incidents.

7 Localization, Storage, and Recipients

7.1. When collecting personal data of citizens of the Russian Federation, the initial recording, systematization, accumulation, storage, clarification, and extraction are performed using a database located in the territory of the Russian Federation.

7.2. The Operator may entrust processing to Russian hosting, database, file storage, email, and technical support providers on the basis of an agreement and subject to confidentiality and security.

7.3. The content of the application must not be initially saved in Framer Forms, Google Sheets, Zapier, Make, or any other foreign system. The form sends data directly to the Operator's Russian information system.

7.4. If a cross-border transfer is required in the future, the Operator shall, prior to its commencement, perform the procedures prescribed by law, assess the admissibility of the transfer, and update this Policy. Consent to processing does not replace the Operator's individual obligations during cross-border transfer.

8 Cookies and Technical Technologies

8.1. The website may use mandatory technical cookies and local storage to load pages, select language, ensure security, and save consent settings.

8.2. Non-essential analytical and marketing technologies must not run until the user has made an appropriate choice. The user can change their choice via the "Cookie Settings" link in the website footer.

9 User Rights

The user has the right to request information about the processing, clarification, blocking, or deletion of data, withdraw consent, and appeal to Roskomnadzor or a court. The request should be sent to welcome@unitedfitness.ru. The Operator has the right to request information necessary to identify the applicant.

10 Data Protection

The Operator takes legal, organizational, and technical measures to protect personal data from unauthorized or accidental access, destruction, modification, blocking, copying, provision, and distribution, as well as from other unlawful actions.

11 Changes to the Policy

The current version is available on the unitedfitness.ru website. The new version applies from the date of publication, unless otherwise specified therein.
